GENERAL SUMMARY/ OVERVIEW STATEMENT:

In partnership with the Primary Care Regional Leadership Triad, and under the direction of Primary Care Central Leadership, the Regional Administrator for BWH Primary Care is jointly responsible for meeting the quality, cost, efficiency and care team development goals for their respective Primary Care region. The Regional Administrator directly supervises the Practice Managers in the region, and as such, is responsible for oversight of the senior and business functions and operations within those practices. The Regional Administrator will work closely with Primary Care Central Leadership to develop, document, implement and monitor policies and procedures for efficient, patient-centered operations. This position reports to the Senior Director for Primary Care. As a key leader within Primary Care, the Regional Administrator will also be an important contributor to and participant in the development of long term strategy and planning across all of BWH Primary Care

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Oversees all senior and business/financial operations within the practices in his/her region. Responsible for overall coordination of staff senior activities, both within and across the region's practices. Regularly evaluates and provides feedback to the region's Practice Managers. In collaboration with the Regional Leadership Triad, makes thoughtful and well-informed decisions concerning hiring, corrective action and personnel matters as appropriate. Reports on-going problems to the Senior Director of BWH Primary Care. Identifies training needs around senior and business functions, and assists with training of relevant staff and students. Ensures staff proficiency. Identifies and prioritizes opportunities for the development of cross-region trainings and standard work, ensuring that such work is consistent with and in collaboration with his/her fellow Regional Leadership Triads across BWH Primary Care. Works with Primary Care Central Leadership and the entire Regional Leadership teams to create a patient experience which is patient-centered, of uniform high quality, and safe. Monitors and improves patient satisfaction and patient activation. Supports practice managers, as needed, in the resolution of patient issues through effective partnership with Patient and Family Relations and Risk Management, followed by identifying and correcting underlying system problems. In collaboration with the Senior Director, the Finance Manager and the region's Practice Managers, develops the operating budgets and monitors income and expenses to ensure that the region's budget compliance and established performance standards are met. Is the expert on the region's budget, maintaining real-time understanding and assessment of financial performance, proactively reporting issues to Primary Care Central Leadership and efficiently working with the region's Leadership Triad and Practice Managers to implement and monitor solutions as needed- including processes that impact systems such as provider productivity, appropriate coding and capture of documented services, patients with non-contracted insurance, etc. In collaboration with the Regional Leadership Triad, organizes and oversees work schedules for optimal utilization of senior staff to meet the needs of the region's patients. Develops and implements appropriate systems, policies and procedures to ensure efficient processing of work. Represents the department at various meetings and handles all senior activities at the discretion of the Senior Director of BWH Primary Care. In collaboration with the Regional Leadership Triad, develops a meeting management system and infrastructure for the leadership in the region's practices; in addition to partnering with their fellow Regional Leadership Triads to develop a similar and coordinated approach/system across all regions. Continuously monitors the physical environments and facilities of the region's practices. Identifies problems and coordinates activities with support departments to maintain the physical integrity of the practice. Responsible for the recruitment, hiring, onboarding, development, evaluation and corrective action of the region's Practice Managers; responsible for developing appropriate coverage plans in the event one or more of the region's Practice Managers are out. The Regional Administrator is expected to visit each site at frequent and regular intervals, and is also expected to be accessible by phone or email at all times during working hours with the exception of scheduled time off. Performs other duties as assigned by the Senior Director.
